{"id":2732,"date":"2018-01-05T18:27:05","date_gmt":"2018-01-05T23:27:05","guid":{"rendered":"http:\/\/dansdigitaldive.com\/web\/?p=2732"},"modified":"2018-01-05T19:53:20","modified_gmt":"2018-01-06T00:53:20","slug":"have-you-ever-updated-your-outlook-email-template","status":"publish","type":"post","link":"https:\/\/dansdigitaldive.com\/web\/archives\/2732","title":{"rendered":"Have you ever updated your Outlook email template?"},"content":{"rendered":"<p>For those that know me, you know that I am busy work challenged.\u00a0 One of the best tools I&#8217;ve found is Microsoft Outlook (I heard you!).\u00a0 I know many of you would rather shove a dull pencil in your eye socket rather than use one of Bill Gate&#8217;s products; but lets face it, Outlook is the norm in the business world.\u00a0 A co-worker of mine, Ralph, who was really into Outlook, offered to show me how to use it to improve my efficiency and reduce my rework.\u00a0 I don&#8217;t like having to re-invent the wheel to do a job, so needless to say, I took him up on the offer.<\/p>\n<p>I have used Outlook templates before; but never to the level that he uses them.\u00a0 \u00a0 \u00a0I have many templates in Outlook, each grouped by client and subject.\u00a0 I have a particular client that wants a weekly status report, OK, easy enough, create the email template and voila &#8211; done.\u00a0 Not so fast jet rider; this particular client likes to, &#8220;update&#8221; the information he tracks frequently.\u00a0 While it may be easy enough to just create a new template; there is an easier way.\u00a0 Basically, there are four steps:<\/p>\n<ol>\n<li>Open your template like you normally would.<\/li>\n<li>Delete your auto inserted signature, if you use one (I do).<\/li>\n<li>Update your template to reflect new information\/format.<\/li>\n<li>Save it right over your old template (don&#8217;t forget to change the type from message to template).<\/li>\n<\/ol>\n<p>But wait, there&#8217;s more&#8230;.<\/p>\n<p>I often use the Outlook Web App (OWA) in Microsoft Office 365 web version of Outlook.\u00a0 I have been having a dickens of a time trying to figure out; but thanks to an article by the <a href=\"https:\/\/its.uiowa.edu\/support\/article\/2655\">universe of Iowa<\/a>, you can make templates for the web version of Outlook too.\u00a0 Its as simple as&#8230;.<\/p>\n<ol>\n<li>Click the\u00a0<strong>New Message<\/strong>\u00a0button to create a new message.<\/li>\n<li>In the lower right corner in the New Message window, click on the &#8216;My Templates&#8217; icon.<\/li>\n<li>Click on the\u00a0<strong>+ Template<\/strong>\u00a0and type a\u00a0Template Name and the body of\u00a0the template.\u00a0 I recommend cutting and pasting from the body of an already written email you want to use as the template.
